Specialised Exhibitions (Pty) Ltd, trading as Montgomery Group Africa, is committed to protecting your personal information and handling it responsibly in accordance with the Protection of Personal Information Act 4 of 2013 (POPIA).

This Privacy Notice explains how we collect, use, store, protect and share personal information when you interact with us, our websites or our events.

It applies to exhibitors and their representatives, contractors and their workers, suppliers, visitors, registered attendees, and others whose personal information we process in connection with our events.

What Personal Information We Collect

Depending on your relationship with us, we may collect information such as:

• Your name, surname and job title
• Your work email address, telephone number and postal address
• Company and business information
• Payment and transaction information where applicable
• Event registration and attendance information
• Photographs and video captured at our events
• Accreditation and site access information where applicable

We only collect personal information that is reasonably required for the purposes for which it is processed.

Why We Process Your Information

We may process your personal information to:

• Manage event registrations and attendance
• Administer exhibitor, contractor and supplier relationships
• Allocate exhibition space and manage event participation
• Manage accreditation and access to event premises
• Communicate important information about our events
• Maintain safety and security at our events
• Meet our contractual and legal obligations
• Send marketing communications where you have provided the necessary consent

Where we rely on your consent, you may withdraw it at any time.

How We Share Your Information

We only share personal information where necessary for legitimate business, operational or legal purposes.

• Registration, accreditation and ticketing providers

We do not sell personal information for monetary gain.

International Processing

Some personal information may be processed outside South Africa, including where we use systems, service providers or other companies within the Montgomery group that operate internationally.

Where personal information is transferred outside South Africa, we take appropriate steps to ensure that the transfer is handled in accordance with POPIA.

How Long We Keep Your Information

We retain personal information only for as long as it is required for the purpose for which it was collected, or for as long as we are legally required or permitted to retain it.

When personal information is no longer required, it is securely destroyed or deleted in a manner that prevents it from being reconstructed.

We take appropriate and reasonable technical and organisational measures to protect personal information against loss, unauthorised access, interference, modification, disclosure or destruction.

Access to personal information is limited to people who require it to perform their responsibilities, and we require service providers processing information on our behalf to maintain appropriate security standards.

• Ask what personal information we hold about you
• Request access to your personal information
• Request the correction or deletion of information that is inaccurate, irrelevant, excessive, outdated, incomplete, misleading or unlawfully obtained
• Request the deletion or destruction of information we are no longer authorised to retain
• Object to certain processing of your personal information
• Object to your information being used for direct marketing
• Withdraw your consent where processing is based on consent
• Lodge a complaint with the Information Regulator
